ContractsWise treats its obligations to protect the privacy of data provided by visitors to our website www.contractswise.com and by users of our software very seriously.
Despite the fact the amount of personal data we hold and process is very limited we are committed to complying with data protection regulations and in particular the new GDPR regulations which will come into force in May 2018.
What Personal Information do we hold?
Data protection regulations define Personal Information as any information or set of information that identifies or could be used to identify an individual.
The only Personal Information we will always ask for about an individual is an e-mail address and in most cases this will be a commercial rather than private e-mail address. However even a commercial e-mail address in most cases can be used to identify an individual and is therefore treated as Personal Information.
Other information we may ask for is Name, Address, Telephone Number and Purchasing Card details. As we sell business to business software we expect this information to be commercial data and not personal data.
What do we do with that information?
Firstly what we don’t do is give or sell any personal information to a 3rd party unless that 3rd party requires the information to enable ContractsWise to deliver its services.
ContractsWise uses a 3rd party to manage purchasing card processing. That party is not permitted to store, retain or use that information except for processing payments on behalf of ContractsWise.
ContractsWise uses a 3rd party to host the cloud software, provide technical support, data security and disaster recovery. They are not permitted to use information except to investigate ways to improve the service and they are required to obtain permission from ContractsWise before accessing any personal data.
ContractsWise may use your information to:
- Supply you with services
- Enable access to and use our services
- Send you invoices
- Collect payment
- Send you service updates
- If required to meet any legal obligations or defend against any legal claims
- Investigate and take action against any activities not permitted under the terms of any agreement we have with you.
- Send you marketing materials (only if you have given your agreement to receive such materials).
- Create news articles, testimonials or case studies (only with your agreement).
How secure is your information?
ContractsWise is certified to the international data security standard ISO27001.
We work very hard to ensure all data remains secure and protected.
All data stored in and processed by our software is processed in highly secure data centres in the UK.
Any data stored outside of our software is held in secure, password protected locations and no data is saved on personal devices or in paper files.
How long do we store your data for?
If data is required to enable us to provide our services we will store that data until you stop subscribing to our service. We will then hold this data for up to 5 years after subscriptions have ceased.
If we are holding data for marketing purposes we will hold the data until either you tell us to delete it or we receive information that tells us that it is inaccurate. For example we learn that you are no longer working at a particular organisation and your-mail address is therefore out of date.
How do you request deletion of your data?
If you would like us to delete any personal data we hold about you for purposes other than the delivery of our service simply write to us at email@example.com and we will delete or amend the data according to your request within 30 days.
